Best Practices for Handling Overtime and Damages (For Hosts)
Managing overtime and damages professionally is a key part of providing a great experience while protecting your space. At BOOKD, Hosts are responsible for handling any overtime charges or property damages directly with the Renter on the day of the shoot or event.
Here are best practices to ensure clear communication, fair handling, and smooth dispute resolution if needed:
Set Expectations Before the Booking
- Clearly outline your house rules, overtime policies, guest limits, and any specific conditions in your listing description.
- Brief the Renter during initial communication (once connected via WhatsApp) about your expectations regarding time extensions, damages, and check-out procedures.
Conduct a Pre-Booking Walkthrough
- Before the booking starts, walk through the space with the Renter (or their representative).
- Point out any existing damages, fragile areas, or specific rules regarding the use of equipment, furniture, or props.
- Optional: Take timestamped photos or videos of the key areas for reference.
Monitor Usage During the Booking
- If possible, stay available on-site or nearby during the booking window, or designate a trusted Site Representative.
- Keep track of booking start and end times to identify if overtime is being incurred.
Conduct a Post-Booking Walkthrough
- At the scheduled end of the booking, do a walkthrough of the space together with the Renter.
- Check for:
- Overtime usage (late check-out beyond the agreed end time),
- Damages to property, furniture, equipment, or the venue itself,
- Overcapacity or unauthorized use not disclosed during booking.
- Politely but firmly point out any issues immediately.
- Document findings with timestamped photos or videos wherever necessary.
Settling Overage Charges and Damages
- Any agreed overtime charges or damages must be settled directly with the Renter onsite before they leave the venue.
- Communicate the extra amount clearly and provide a simple breakdown (e.g., additional hours, repair estimates, etc.).
- Use a simple acknowledgment form or have the Renter confirm the charges over WhatsApp for proof of mutual understanding.
Reporting Disputes to BOOKD (If Needed)
- If the Renter disputes the overtime or damages, or refuses settlement, notify BOOKD Support immediately.
- Disputes must be reported within 2 hours after the scheduled booking end time.
- Submit:
- A detailed description of the issue,
- Timestamped photo/video evidence,
- Any signed acknowledgment (if applicable),
- WhatsApp/chat records supporting your claim.
BOOKD will assist in dispute facilitation but final settlements are managed directly between Hosts and Renters.
Maintain Professionalism
- • Always approach overtime or damages discussions calmly and professionally.
- • Avoid arguments or escalating the situation unnecessarily.
- • A documented, respectful approach builds trust and can lead to quicker resolutions.
